Why Pensara

What makes the difference

Unhurried, structured work

Sessions are paced to your comfort. Nothing is rushed. The coordinator works through one section at a time and explains each step in plain language.

Clear boundaries, honest scope

We are explicit about what falls outside our work. Questions on regulated matters are noted in writing and you are pointed toward a qualified professional.

Written output every time

Every session ends with something written — an inventory, a summary, a template — so the work accumulates into a usable record rather than just a conversation.

Family-ready documents

The archive and handover notes are written so that a family member — with no prior knowledge — can pick them up and understand what is where and why.

Kuala Lumpur based

In-person sessions are available at our Damansara Heights office. Video call sessions are equally structured and produce the same written deliverables.

Your documents stay yours

We do not retain copies of your personal documents. Everything is handed back at the end of the engagement, with your archive stored on your own chosen storage.

Ready when you are

Would you like to start with a short conversation?

Send us an enquiry slip and a coordinator will write back within two business days to explain how a session works and answer any questions you have — no commitment needed at that stage.

Common questions

Frequently asked

What exactly happens in a Records Sorting Session? +

A coordinator sits with you — in person at our Damansara Heights office, or by video call — and works through your retirement-related paperwork together. We sort documents into categories, create a consistent naming convention, note what appears to be missing, and produce a written inventory for you to keep. The session is 2.5 hours, and one follow-up email is included. We do not contact institutions, interpret entitlements, or provide advice on regulated matters.

Do I need to bring all my documents to the first session? +

Bring whatever you have. Part of the work is noting what is present and what seems to be absent — so an incomplete collection is not a problem. The inventory we produce will include a section on documents that may still need to be located, which you can then pursue in your own time.

Is the Documentation Readiness Programme suitable for couples? +

Yes. The four-session programme is designed for one household, which may be an individual or a couple. When both partners attend, the document map covers both sets of records and the final file is organised so either person can navigate it independently.

What is the difference between the programme and the Family Archive Build? +

The Documentation Readiness Programme is structured around preparing your paperwork in an orderly way over four to six weeks — it suits people who want education and organisation working together. The Family Archive Build is broader in scope: it covers decades of accumulated paperwork, includes physical scanning and indexing, and produces a handover document written for family members. It runs over roughly three months with up to twelve working sessions.

Will Pensara contact EPF or other bodies on my behalf? +

No. Our work is purely administrative and organisational. We do not contact EPF, LTAT, SOCSO, employers, or any other institution on your behalf. If your questions require that kind of engagement, we will note them in the session summary and suggest that you speak with a qualified professional or contact the relevant body directly.

What happens to my documents after the session? +

All original documents are returned to you. For the Family Archive Build, scanned files are placed on your own chosen storage device or cloud account — we do not retain copies. We take our responsibility to handle your personal information with care very seriously, and our Privacy Policy sets out exactly how we manage any data shared with us during an engagement.

How do I begin? +

Fill in the enquiry slip at the bottom of this page or call us during office hours. A coordinator will write back within two business days to describe how the chosen service works and to arrange a time that suits you. There is no obligation to proceed at that stage.
