Specific to retirement records
We work only on retirement documentation. This is not a side offering. Our folder structures, glossaries and inventory templates have been designed specifically for EPF statements, pension letters, SOCSO records, and the other documents that make up a Malaysian retirement file.
Written output every session
Every session produces a written deliverable — an inventory, a session summary, a template, or a handover document. The value of the session is tangible and does not depend on memory.
Clear scope, honestly communicated
We say plainly what we do and what we do not do. Questions that touch regulated matters — entitlements, legal documents, financial decisions — are flagged and referred, never answered out of scope.
Written for the person not in the room
Inventories and handover documents are written so that a spouse, an adult child, or a trusted family member could pick them up with no prior knowledge and understand what is where and why.
Paced to your comfort
Sessions are not timed to the minute. If you need to stop and ask a question, or if a particular category of document takes more time, the session accommodates it. No pressure to move faster than suits you.
Your documents stay yours
Originals are returned at the end of every session. For the Family Archive Build, all scanned files go to your own storage device or cloud account. We retain nothing.

Coordinators who understand retirement paperwork
Our coordinators have backgrounds in public-sector administration, records management and adult education. They know the difference between an EPF Annual Statement and a Member Withdrawal Statement, and they know which one goes in which folder and why. That familiarity means the sorting is done accurately the first time and the glossary we provide reflects the terms that actually appear in your documents.

A repeatable method that builds over time
Each service tier follows a structured method that has been refined through several hundred household engagements. The first session always begins with an overview conversation, then moves to a physical sort, then to naming and labelling, then to the written inventory. In the extended programme, each session builds on the last. The method is described to clients at the start so they know what to expect at each stage.

A response that fits the question, not the schedule
Initial enquiries receive a written response within two business days. That response describes the service in plain language, answers the specific questions raised in the enquiry, and explains clearly what would happen next — without any pressure to commit. For ongoing engagements, sessions are scheduled to suit the client, including Saturday morning slots at the Damansara Heights office.

4 / Value
Transparent pricing, nothing hidden
All three services are priced as flat fees: RM 490 for the Records Sorting Session, RM 1,690 for the Documentation Readiness Programme, and RM 4,350 for the Family Archive Build. All deliverables described in the service outline are included in the fee. There are no add-ons charged at the end of a session and no revision charges for documents that need a second draft.

Something tangible at the end of every session
The outcome of every Pensara engagement is a set of physical and written materials the client can immediately use: a sorted and labelled folder set, a printed inventory, a session summary, or a full handover document. These deliverables are designed to remain useful independently of Pensara — you do not need to retain us to understand or maintain the archive.

Every client engagement begins with a printed one-page statement of scope — what we will do, what we will not do, and what we will do when a question falls outside our scope. This is not a legal disclaimer buried in fine print; it is the first document we discuss together, and it sets the tone for everything that follows.
Archive designed for independent use
The folder structure and naming conventions we build are designed to be maintained by the client without our involvement. The annual review rhythm we establish for Family Archive clients takes roughly two hours a year and requires no specialist knowledge — just the habit of reviewing the archive once and adding what has arrived since last time.
Video call sessions with identical deliverables
Video call sessions produce the same written deliverables as in-person sessions. We send a preparation guide in advance so clients know exactly how to set up their documents for a remote sorting session, and the inventory we produce is formatted identically to what an in-person client receives.
Referral notes, not just referrals
When a question falls outside our administrative scope, we do not just say "speak to a professional." We write a brief note summarising the question as clearly as possible — so the client can hand it to their adviser, lawyer or accountant and get a precise answer rather than spending the first part of their meeting re-explaining the context.
