Our methodology

How every service works

Every Pensara service begins with a brief written outline of scope, deliverables and fee. Nothing proceeds until both the client and the coordinator have read and agreed to that document. This is not a formality — it is the foundation of the work, and it means the session has a clear purpose before anyone opens a drawer.

The sorting method is the same across all three services: we work through documents one category at a time — identification, employer records, scheme correspondence, property papers, insurance schedules, bank records — and handle each category fully before moving to the next. Nothing is left in a "to deal with later" pile.

Where a question touches a regulated matter, the coordinator notes it in writing and adds a brief summary of the question to the session notes. The client can take that note to the appropriate professional — a financial adviser, a lawyer, an EPF officer — and get a precise answer rather than a general conversation.

Step 1: Scope agreement

Written engagement terms reviewed and agreed before any session begins.

Step 2: Sort and label

Documents sorted by category, named consistently and placed in the agreed folder structure.

Step 3: Written inventory

Everything present is listed; anything appearing to be absent is noted for follow-up.

Step 4: Flag and refer

Questions outside our scope are written up as clear notes and pointed toward the right professional.

Records Sorting Session

Records Sorting Session

A single sit-down — in person at our Damansara Heights office or by video call — in which a coordinator helps you gather, sort and label the paperwork connected with your retirement years. Statements, membership letters, employer correspondence, identification copies and contact records are worked through together. We build the folder structure, name the files consistently, note what appears to be missing, and hand you a written inventory. We do not interpret entitlements, comment on regulated matters, or contact any institution on your behalf; where a question falls outside general information, we say so and suggest speaking with a qualified professional.

4 sessions · 90 min each · 4–6 weeks

Documentation Readiness Programme

A four-session programme for people who want to prepare their retirement paperwork in an orderly way over several weeks. Session one builds a complete document map. Session two covers general public information about how Malaysian retirement schemes are structured, drawn from published sources and presented as education only. Session three is a workshop on writing and keeping clear personal records — correspondence logs, contact lists, dated notes. Session four assembles everything into a single physical and digital file that a family member could pick up and understand. Suitable for individuals or couples; no prior familiarity with the subject is assumed. This programme is educational and does not include advice on regulated matters.

Service 03

Family Archive Build

Up to 12 sessions · 3 months · one household

Family Archive Build & Administrative Coordination

An extended engagement for households with decades of accumulated paperwork across several people, employers and years. A coordinator works with you over roughly three months to inventory every box and drawer, scan and index what should be kept digitally, build a naming convention the whole family can follow, prepare a written handover document explaining where everything sits and why, and set a simple annual review rhythm so the archive stays current. Non-regulated administrative work only: sorting, scanning, indexing, labelling, and writing the map. Any question touching entitlements, regulated processes or professional judgement is flagged in the report and referred onward.

Original documents are returned at the end of every session. No copies held by Pensara.
